These Terms of Service govern your use of BOS — Business Operating System. By creating an account or using the service, you agree to these terms.

1. The Service

BOS is a cloud-based business management platform designed for small businesses. It provides tools for job scheduling, customer management, invoicing, expense tracking, and reporting. Access is provided on a subscription basis following a free trial period.

2. Account Registration

You must provide accurate information when creating an account. You are responsible for maintaining the security of your login credentials and for all activity that occurs under your account. Notify us immediately at bosystemhelp@gmail.com if you suspect unauthorised access.

3. Subscription & Billing

BOS is offered on a monthly subscription at £14.99/month, following a 30-day free trial. A valid payment method is required to begin the trial. You will not be charged until the trial period ends.

Subscriptions renew automatically each month. You may cancel at any time via the Subscription section in Settings — cancellation takes effect at the end of the current billing period. No refunds are issued for partial months.

Payments are processed securely by Stripe. We do not store your card details.

4. Acceptable Use

You agree not to:

  • Use the service for any unlawful purpose
  • Attempt to gain unauthorised access to other users' data
  • Reverse-engineer, copy, redistribute, or build competing products based on the platform
  • Upload malicious content or attempt to disrupt the service

5. Your Data

You retain ownership of all data you enter into BOS. We do not sell your data to third parties. Your data is stored securely and processed in accordance with our Privacy Policy and UK GDPR obligations.

You may export or request deletion of your data at any time by contacting bosystemhelp@gmail.com.

6. Data Security

We take reasonable technical and organisational measures to protect your data, including encrypted data transmission (HTTPS), secure authentication, and access controls. However, no system is completely infallible and we cannot guarantee absolute security. We will notify affected users promptly in the event of a data breach.

7. Service Availability

We aim to keep BOS available at all times but do not guarantee uninterrupted access. Scheduled maintenance or unexpected outages may occasionally affect availability. We are not liable for losses arising from downtime.

8. Intellectual Property & Brand Protection

BOS — Business Operating System and its associated name, logo, visual identity, user interface design, feature set, and all underlying source code are the exclusive intellectual property of BOS. All rights are reserved.

Trademark: The name "BOS", "Business Operating System", and any associated logos or brand marks are proprietary identifiers of BOS. You may not use, register, or attempt to register any name, mark, or logo that is identical or confusingly similar to our brand in any jurisdiction.

Copyright: The platform's source code, design layouts, written content, and all original creative works are protected under the Copyright, Designs and Patents Act 1988 (UK) and applicable international copyright law. Unauthorised copying, reproduction, or distribution of any part of the platform is strictly prohibited.

Trade Secrets & Confidentiality: Proprietary features, algorithms, workflows, and business methodologies embodied within the BOS platform constitute confidential trade secrets of BOS. You agree not to disclose, replicate, or exploit any such information for competitive purposes.

Prohibited Acts: Without the express written consent of BOS, you must not:

  • Reverse-engineer, decompile, or disassemble any part of the platform
  • Copy, reproduce, or create derivative works based on the platform's design, features, or functionality
  • Use the platform as a blueprint or reference to build a competing product or service
  • Scrape, extract, or systematically download platform data, content, or UI structures, including via automated bots, crawlers, or AI data-collection tools
  • Use any part of the platform's content, design, or source code to train, fine-tune, or prompt any artificial intelligence or machine learning model
  • Frame, mirror, or embed the platform within another application or website
  • Register domain names, social media handles, company names, or trading names that are identical or confusingly similar to "BOS", "Bosystem", or "Business Operating System" in any jurisdiction
  • Use our logo, brand marks, or visual identity, or any imitation of them, in connection with any other product or service
  • Remove or obscure any proprietary notices, copyright notices, trademark symbols, or branding within the platform

You are granted a limited, non-exclusive, non-transferable licence to access and use BOS solely for your own internal business purposes. This licence does not permit sublicensing, resale, cloning, or white-labelling of the platform, its features, or any of its components.

BOS actively monitors for infringement and reserves the right to pursue all available legal remedies, including injunctive relief and claims for damages, against any individual or entity that violates these intellectual property rights.

9. Bookings, Deposits & Payments

Where BOS Bookings or estimate acceptance is enabled, deposits and full payments collected online at the time of booking or acceptance are non-refundable, except where required by law. Businesses using BOS are solely responsible for their own cancellation, refund, and rescheduling policies communicated to their customers. BOS is not a party to the contract between a business and its customer and bears no liability for disputes arising from bookings, deposits, or service delivery.

10. AI Features

BOS includes AI-generated features (including "BOSBuddy" insights, social media post suggestions, and business coaching tips) provided for general guidance only. These outputs are generated automatically and may be inaccurate or unsuitable for your circumstances. You are responsible for reviewing and verifying any AI-generated content before relying on it, and BOS accepts no liability for business, financial, or legal decisions made based on such content.

11. Limitation of Liability

To the maximum extent permitted by law, BOS is not liable for indirect, incidental, or consequential damages arising from your use of BOS. Our total liability to you for any claim shall not exceed the subscription fees paid by you in the three months preceding the claim.

Without limiting the above, BOS — Business Operating System accepts no responsibility or liability for:

  • Loss of earnings or business: any loss of revenue, profit, business opportunity, or goodwill arising from your use of, or inability to use, the platform
  • Technical errors: bugs, downtime, calculation errors, or other technical faults that cause upset, inconvenience, or dissatisfaction to your customers
  • Earnings thresholds: the accuracy of turnover threshold alerts, tax threshold monitoring, or any related calculations — you remain solely responsible for monitoring your own VAT/tax obligations and seeking professional advice
  • Customer data loss: loss, corruption, or unavailability of any data you or your customers enter into the platform, however caused
  • Account hacks or unauthorised access: losses resulting from your account being accessed, hacked, or compromised, including where this results from weak or compromised login credentials on your part

12. Termination

We reserve the right to suspend or terminate accounts that violate these terms. You may delete your account at any time from Settings. Upon termination, your data will be permanently deleted within 30 days.

13. Changes to These Terms

We may update these terms from time to time. Material changes will be communicated via email or an in-app notice. Continued use of BOS after changes take effect constitutes acceptance of the updated terms.

14. Governing Law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
